A US Consulting Firm: Ending the Manual Form-to-Inbox Bottleneck

A US consulting firm replaced manual handling of website inquiries with an AI system that categorises, replies to and logs every submission. Response time fell from hours to under a minute.

Timeline: Six-week deployment roadmap

  • 4-6 hours to under 1 minute Inquiry response time (95% reduction)
  • 98% Reduction in manual errors
  • ~$50,000 Annual saving from 60% less manual effort
  • 3x Inquiry capacity (300 a day) without additional hires
  • 1 FTE Redeployed to client relationship work

The problem

The firm's client services team was overwhelmed by website contact form inquiries. Staff copied form data into Google Sheets and documents by hand, drafted repetitive emails, and worked from a shared Gmail inbox where inquiries were scattered and follow-ups were missed. Manual replies took several hours and varied in tone depending on who wrote them.

  • Form data copied by hand into Google Sheets and documents
  • Inquiries scattered across a shared Gmail inbox, causing missed follow-ups
  • Disconnected systems meant repetitive manual handling
  • Manual replies were inconsistent and took several hours

What we built

We built an n8n workflow that starts the moment a website form is submitted. OpenAI GPT-4 reads each inquiry, categorises it as new business, support or general, and writes a context-aware reply that Gmail sends automatically. In parallel, the inquiry is logged as a structured row in Google Sheets, a formal intake record is generated in Google Docs and saved to a shared Google Drive folder, and the team is alerted so the right person can follow up.

Tools: n8n, OpenAI GPT-4, Gmail, Google Sheets, Google Docs, Google Drive

How we ran it

Every engagement follows The Claro Build Framework.

  1. Assess: We traced how inquiries moved from the website form to the inbox and spreadsheet, and identified manual copying, scattered follow-ups and inconsistent replies as the main causes of delay.
  2. Design: We designed the categorisation logic, the response templates and a single flow that captures, replies to, logs and documents every inquiry.
  3. Build: We connected the form to n8n and GPT-4, built the response and categorisation logic with testing, then integrated Gmail, Sheets, Docs and Drive before full launch.
  4. Sustain: The system was handed over under The Adoption Standard: a structured 45-minute handover call, supported by documentation written during the build.

The result

Response time dropped by 95 per cent, from four to six hours to under one minute. Manual errors fell by 98 per cent and manual effort by 60 per cent, saving around $50,000 a year. The firm can now handle three times the inquiry volume, up to 300 a day, without additional hires, and one full-time role was redeployed to client relationships.
