A US E-Commerce Firm: Automating Hundreds of Individual PayPal Payouts
A US e-commerce finance team replaced hundreds of one-by-one PayPal payments with AI-validated batch payouts. Manual payment processing time fell by 95 per cent.
Timeline: Six-week deployment roadmap
- 95% Reduction in manual payment processing time
- 90% Fewer payment errors and delays
- 98% Bulk processing success rate
- 500% Increase in payment processing capacity
- $400K+ Annual savings in administrative costs
The problem
The finance department was processing hundreds of individual PayPal payments by hand. Staff spent hours validating amounts, converting currencies and handling recipient country codes. Payment requests arrived through web forms that had no connection to the payment system, so every payment was transferred and processed one at a time, leading to frequent errors, delayed disbursements and frustrated recipients.
- Hours spent validating amounts, currencies and country codes by hand
- Form requests disconnected from the payment system
- No link to the PayPal API, forcing one-by-one processing
- Frequent errors in amounts and currencies caused delays
What we built
We built a payout pipeline that starts when a payment request is submitted through an Instagram form. A webhook logs the request in Google Sheets in real time, and an AI payment assistant checks each amount, converts currencies and country codes, and flags anything that needs manual review. Validated payments are grouped into a single batch and sent through the PayPal Mass Payout API. Google Sheets is then updated with each payment's status, recipients receive confirmation emails, and the finance team receives a summary report with a full audit trail.

How we ran it
Every engagement follows The Claro Build Framework.
- Assess: We mapped the path from payment request to PayPal and identified manual validation, currency handling and one-by-one processing as the main sources of error and delay.
- Design: We designed the validation rules for amounts, currencies and country codes, the batching logic and the notification flow, with an exception path for manual review.
- Build: We set up the form integration and webhooks, built the AI validation, connected the PayPal Mass Payout API for batch processing, then added notifications and tested before full launch.
- Sustain: The finance team received a handover under The Adoption Standard: a structured 45-minute handover call and documentation written as the system was built.
The result
Manual payment processing time fell by 95 per cent and payment errors and delays dropped by 90 per cent, with a 98 per cent success rate in bulk processing. Payment processing capacity grew by 500 per cent, the finance team no longer enters payments by hand, and the firm reports more than $400,000 in annual administrative savings.
